Refund and transfer approach for coordination fees
Coordination fees cover our planning, research, communication, and arrangement work. If unexpected circumstances arise during the preparatory phase before bookings or arrangements are confirmed, a refund may be considered where appropriate. Once bookings or arrangements have been confirmed, coordination fees are generally non-refundable, but may be transferable to another trip or future planning request at JR Travel Global’s discretion. Third-party bookings remain subject to the refund and cancellation terms of the relevant supplier.

What are your planning fees?
Our standard Global Travel Coordination fee is £60 per trip for 1–2 travellers and trips of up to 14 days. Malaysia Health Check Travel Coordination is £100 per person. Group travel starts from £80 for 3 travellers, £100 for 4 travellers, from £150 for 5–8 travellers, and custom quote for 9 or more travellers. These are JR Travel Global planning and coordination fees only. Hotels, flights, cruises, transfers, medical services, attractions, insurance, visas, taxes, and other supplier charges are separate unless clearly stated in writing.
How do I book a trip with you?
You can book a trip by contacting us directly via WhatsApp, email, or phone call. Once you get in touch, we will discuss your destination, dates, budget, travel style, and any specific requirements before creating a personalised travel plan for you.
Do you offer custom travel packages?
Yes. All trips are fully customisable and planned one-to-one. We do not use fixed itineraries, so your trip can be tailored around your preferences, budget, travel dates, destination, hotel style, activities, and overall experience.
Can I request a trip based on my budget?
Yes. You can let us know your budget, and we will tailor the trip around it as much as possible. We will also advise you honestly on whether your requested trip is realistic for your budget, as pricing can vary depending on the city, country, season, hotel availability, flights, and activities.
How far in advance should I book?
We are flexible with advance bookings, but we recommend contacting us at least two weeks before your intended travel date. This gives us enough time to properly plan your trip, compare suitable options, and secure better availability.
Are flights included?
Flights are optional. If you would like help finding or arranging flights, we can include this as part of your travel planning. If you prefer to book flights yourself, we can work around your existing travel arrangements.
Are hotels, transfers, tours, and activities included?
They can be included if you want them to be. Your trip can be designed to include hotel stays, airport transfers, tours, excursions, restaurants, activities, and other travel arrangements depending on your preferences.
Are there any hidden fees?
No. Our fees are made clear upfront before we begin planning your trip. Any additional costs, such as visa support, activities, hotel charges, flights, cruises, or provider fees, will be explained before anything is booked.
Can I make changes after my booking is confirmed?
Yes. Changes are reviewed after confirmation based on the type and size of the change. Small adjustments are usually easier to manage, while major changes or cancellations follow the specific booking terms. We explain the cancellation or change policy before your booking is confirmed.
Do I need travel insurance?
Travel insurance is optional, but we strongly recommend it. It can help protect you in case of cancellations, delays, medical issues, lost luggage, or unexpected travel disruptions.
Can you help with passport and visa requirements?
Yes. We can help guide you on passport and visa requirements for your destination. However, final responsibility for having valid travel documents remains with the traveller.
What is your cancellation policy?
Cancellation policies depend on the specific booking, hotel, airline, cruise line, or travel provider. Rates range from flexible cancellation to non-refundable terms, and we explain the relevant cancellation terms before your booking is confirmed.
Will I have support during my trip?
Yes. We offer support during your trip and are available through WhatsApp in case you experience any issues. We can help coordinate with hotels, travel providers, and other relevant parties where needed.
Do you provide emergency assistance?
We can provide emergency travel advice and support with travel-related issues. However, this does not replace official emergency services. In a serious emergency, you should always contact local emergency services first.
How do I know my booking is confirmed?
Your booking is confirmed once we have informed you directly and sent your confirmation details by email. You will also be able to check direct bookings through the relevant hotel, airline, or provider website where applicable.
Do you work with trusted providers?
Yes. We work with trusted hotels, direct travel providers, and reliable partners. Bookings are made directly with the provider whenever that is the correct channel, and you can verify your booking through their official website.
Is a consultation included after payment?
Yes. Your paid coordination service includes a complimentary 1:1 online travel consultation after payment so we can confirm your priorities, preferences, budget, timing, and next steps before detailed planning begins.
Are coordination fees refundable?
Coordination fees cover planning, research, communication, and arrangement work. A refund may be considered before bookings or arrangements are confirmed where appropriate. Once bookings or arrangements are confirmed, coordination fees are generally non-refundable, but may be transferable to another trip or future planning request at JR Travel Global’s discretion.

Transparent guidance for JR Travel Global planning and coordination fees.
JR Travel Global charges a coordination and planning fee for the time, research, communication, and arrangement work carried out on behalf of the client.
We aim to be transparent and reasonable with coordination fees. If unexpected circumstances arise during the preparatory phase of the trip, before bookings or arrangements have been confirmed, JR Travel Global may offer a refund where appropriate.
Where possible, coordination fees may also be transferred to another trip or future travel enquiry instead of being lost.
Once bookings, reservations, appointments, supplier arrangements, or travel plans have been confirmed, coordination fees are generally non-refundable. This is because the fee covers professional planning time, supplier communication, itinerary preparation, availability checks, booking coordination, and related arrangement work already carried out.
However, coordination fees may still be transferable to another suitable trip or future planning request at JR Travel Global’s discretion.
Hotel, flight, transfer, activity, medical appointment, or third-party supplier payments are subject to the cancellation and refund terms of the relevant supplier. JR Travel Global does not control third-party supplier refund policies.
Clients are advised to review all supplier terms carefully before confirming any booking.
